Villa management

We have developed two property management packages best suited for owners who have restricted control over the general maintenance of their property and owners who require an agency to take full responsibility of their property. We also offer custom made packages if required.

Package 1: Classic property management package:
Marketing;

We market our self-managed properties on all profitable platforms which would include the following;

  • Our various of high-ranking websites
  • Online (live) agent booking systems
  • Online platforms such as Airbnb, booking.com etc
  • Extensive portfolio of return clients (we recommend our self-managed villas first as first options with accompanying motivations to our return clients)


Property inspection and advice for rental purposes:

We do a full property inspection and advise the owner if anything needs to be changed, removed or added to make the property suitable or more marketable for rentals. 

Property images and information for marketing:

We do a full inventory of the owner’s property and record all furniture, kitchen utensils and damages. We set up, style and photograph the property at our own expense.

Reservations:

We handle all reservations from start to finish. This includes accounting.

Availability calendar:

We handle the availability calendar across all platforms and manage owner bookings.

Check in / check outs:

We handle all check in and check outs. This includes styling the villa beforehand and providing a welcome pack which would include still/sparkling water, fruit basket, juice, snacks, chocolates etc at our own expense. We also offer a complimentary shopping & stocking service to tenants as an option.

Security deposit / protecting the property:

We withhold a reasonable security deposit for all reservations to cover damages which may be incurred during a rental. We do a “walk through” with tenants on arrival and on departure. In the event of any damages we handle/arrange to have it repaired immediately and bill the tenants accordingly. We always strive to keep our managed properties in tip top condition.

Guests relations / concierge service:

We want to ensure that our guests have a memorable experience and offer a complimentary concierge service. The complimentary concierge service entails arranging additional services such as airport transfers, car hire, private chef, baby equipment rental etc. We want our guests to have a relaxing holiday, so we try and pre-arrange everything in advance so that there is not much to think about when they arrive at the villa. We update our ‘Recommended restaurants’ list twice a year and offer to make reservations on tenants’ behalf.

Maintenance:

It is the owner’s responsibility to ensure that the villa is maintained to its best possible condition and that the property is without any defects.

Problems that may occur during a booking:

We all know this is not a perfect world and things can go wrong, it is our responsibility to fix any problem that may occur during a booking in the fastest time possible. In any event of a problem / defect at the property the guests will contact us, and we will inform the owner. We all know it’s is not a perfect world and things can go wrong during a rental. In any event of a problem (electrical, plumbing, aircon etc.) / defect at the property the guests will contact us, and we will inform the owner. It will be the owner’s responsibility to resolve the problem/defect reported within the shortest time possible, but we would assist where we can. We correspond with guests and update them on the progress.

Housekeeping:

It is the owner’s responsibility to provide housekeeping Monday to Friday with enough staff, as well as cleaning materials.

Villa manual:

We supply a villa manual which will have emergency numbers, basic instructions of the villa, passwords (WIFI & armed response) etc.

Package 2: Executive property management package:

Our executive property management option is an all-inclusive package designed especially for foreigners who have purchased a property in Cape Town to cover their expenses, earn an income and still enjoy their villa from time to time. The executive package includes all the above and additional services such as: maintenance, housekeeping and finer details. This property management package offers above-and-beyond services to make the owner’s property truly special and noteworthy. Please see below what is included in addition to the above.

Maintenance:

We take full responsibility for maintaining the property.

Accounts / Utilities:

We take full responsibility for managing all utilities such as DSTV, internet access, gas refill, armed response service etc.

Housekeeping:

We will arrange our own staff for housekeeping, as well as cleaning materials which will be at our own expense. No employee contracts / staff issues / complaints / employee rights / leave etc for the owner to deal with.

Finer details

  • Bathroom accessories will be supplied (shampoo/conditioner/lotion etc.)
  • Bathrobes for the master bedroom will be supplied.
  • Mr and Mrs Welcome signs will be supplied.
  • Universal adapters and writing facilities in each room will be supplied.
